Terms and Conditions for Self-Funded Applicants of Future Diplomat Forum 2025

By applying for the Self-Funded Category of the Future Diplomat Forum 2025 in Washington, DC, you agree to the following Terms and Conditions. These terms are legally binding, and your acceptance is required to complete the application process.

1. Eligibility and Application Submission

1.1. Applicants must meet the eligibility criteria specified on the event website at the time of submission. Anyone can register for this category.

1.2. All information provided must be accurate, complete, and verifiable. Providing false or misleading information may result in disqualification without notice.

1.3. Submission of an application guarantees participation in the event and instant confirmation.
1.4. You will receive your documents and acceptance letters within 3-5 working days of your registration.

2. Registration Fee and Refund Policy

2.1. Applicants under the Self-Funded Category are required to pay a registration fee, as stated on the event website, to confirm their participation.

2.2. Refunds will be processed in accordance with our Refund Policy. Participants must refer to the policy available on the event website for eligibility criteria and timelines for refund requests.

2.3. Refunds are not guaranteed for event changes, including postponement, change of venue, or modifications to the event format.

2.4. In the event of cancellation by the organizers, the refund process will follow the guidelines outlined in the Refund Policy.

3. Event Changes, Amendments, and Postponement

3.1. The organizing committee reserves the right to amend, reschedule, or cancel the event due to unforeseen circumstances, including but not limited to natural disasters, pandemics, government actions, or travel restrictions.

3.2. Participants will be notified promptly of any changes through the contact details provided in their application.

3.3. The organizing committee will not be liable for any personal expenses, such as travel or accommodation costs, incurred due to event changes.

4. Travel and Attendance Requirements

4.1. Self-Funded participants are responsible for arranging their own travel and other expenses related to attending the event.

4.2. Participants are also responsible for securing any necessary visas or travel permits. The organizing committee will provide an invitation letter upon request to support visa applications, but we will not contact embassies for appointments.

4.3. The invitation letter may be used to make an emergency request for an embassy appointment, but the organizers are not liable for the outcome of any visa applications.

4.4. Full participation in the event’s activities and sessions is required. Failure to attend without prior notification may result in exclusion from future events.

5. Media Release and Consent

5.1. By participating in the Future Diplomat Forum 2025, you grant the organizers, partners, and affiliates the irrevocable right to capture photographs and videos during the event.

5.2. These photographs and videos may be used for marketing, promotional, and public relations purposes for both current and future events. This includes use across various media platforms, including print, online, and social media.

5.3. By agreeing to these Terms and Conditions, you acknowledge that:

  • Once any media featuring you has been published, the organizers are not obligated to remove it upon request.
  • Requests to not use your media in future campaigns may be considered at the sole discretion of the organizing committee, but this will not apply to content already uploaded or published.

5.4. You waive any right to review, approve, or receive compensation for the use of your image, likeness, or voice in promotional content.

6. Code of Conduct

6.1. All participants must conduct themselves professionally and respectfully throughout the event, adhering to the guidelines provided by the organizing committee.

6.2. Any form of harassment, discrimination, or disruptive behavior will result in immediate removal from the event and exclusion from future events.

6.3. Participants are responsible for any damage caused to event property and may be held liable for repair or replacement costs.

7. Liability and Disclaimer

7.1. The organizers are not liable for personal injury, loss, damage, or theft of personal belongings during the event.

7.2. Participants are encouraged to arrange their own travel insurance to cover unforeseen events, including medical emergencies, travel delays, or lost luggage.

7.3. The organizing committee will not be responsible for legal, travel, or personal issues encountered during participation.

8. Force Majeure

8.1. The organizers shall not be held responsible for delays, changes, or cancellations caused by events beyond their control, including but not limited to natural disasters, pandemics, strikes, or government restrictions.

9. Privacy and Data Protection

9.1. By submitting your application, you consent to the collection, storage, and processing of your personal data for event management purposes.

9.2. Your personal information will not be shared with third parties, except as necessary for event-related services and communications.

10. Governing Law and Jurisdiction

10.1. These Terms and Conditions shall be governed by the laws of the United States.

10.2. Any disputes arising from these Terms will be subject to the exclusive jurisdiction of the courts in Washington, DC.

11. Acceptance of Terms and Conditions

11.1. By submitting your application for the Self-Funded Category, you confirm that you have read, understood, and agreed to these Terms and Conditions.

11.2. You acknowledge that the registration fee is non-refundable, except as specified in the Refund Policy, and that participation is contingent upon adherence to the code of conduct and other event guidelines.
